C.E.S.P. 3-25: Secretarial Assistance & Other Organizations

Summary: Establishes policy concerning furnishing secretarial assistance for work relating to non-Extension organizations and other non-Extension purposes.
Secretarial assistance and supplies will not be furnished staff members who are serving as officers of agricultural or professional associations or cooperating organizations (both state and national) for the purpose of executing the duties of the office unless permission for such assistance is granted by the Associate Vice President for Agriculture - Extension. This does not apply to Extension organizations made up solely of Extension personnel.
If permission is not granted and an Extension secretary works after office hours to provide the needed secretarial help, she must be compensated for her services by the association or organization. The association must furnish the supplies such as paper, envelopes, and postage.
Secretarial assistance and supplies will not be provided for:
• Cooperating organizations involved in Extension programs.
• Preparation of a thesis, dissertation, or other material for a course being taken by an employee or any other individual.
• Preparation of tests or teaching materials for staff members who devote part of their time to classroom teaching. This does not apply to courses for Extension personnel only.
• Personal work for staff members or others.
