Online Requisitions

The Financial Services office is implementing an online requisitions enhancement to the Banner accounting system. When finalized, this feature will result in a fundamental change in the way we process purchases. Currently, we rely on what is basically a manual system of preparing a request on paper, routing it through county or section offices, administration, and the Financial Services office before the same information is re-entered into Banner. Online requisitions will allow us to completely remove the paper document from the process and allow us to transfer those requests throughout the organization electronically. This change will be beneficial to the organization for a number of reasons:

  1. Eliminating the transfer of documents from desk to desk or office to office will reduce the time required to process a purchase request. With online requisitions, a completed document is immediately routed to each person who is required to review and approve it.
     
  2. The elimination of duplicate data entry not only speeds up the process, it also increases the accuracy of the data. Each time data is entered there is a chance for a mistake to occur. If the data is enter only one time, the possibility of errors has been cut in half.
     
  3. Because someone currently prepares the requests in each department or section, this change will create no additional duties for your staff. For them it will simply be a shift from one type of document to another. However, it will reduce the need for data entry by the purchasing office staff. This allows them greater time for research and follow-up on your requests resulting in better prices and increased savings to the organization, which is their intended function.

This project will be implemented in phases beginning with a few state office departments, expanding to the remaining state office sections, then to county offices and research centers. You will receive additional instructions and training as online requisitions are rolled out to your area.
