Expenditure Account Reconciliation Process

Personnel in the Financial Services Office will update and reconcile the Expenditure Account on a monthly basis. The General Ledger Accountant will load the transactions from the Quicken Monthly Activity Detail Reports the counties send in to the Financial Services Office via a batch journal entry into Banner. Once the monthly statement and data file for the account have been received from the bank, the Cash Manager will sort the detail from the data the bank has provided by county and reconcile it to the information that was entered into Banner through the batch journal entry. Any differences will be reported back to the counties so that they can make correcting entries in Quicken. Correcting entries must be recorded in the current month, never in a month that has already been reconciled. Once the balances for each county have been reconciled, the Cash Manager will initiate an ACH transaction to transfer the amount of each county’s expenditures from their Depository Account to the Expenditure Account.
