Information Technology XP Computer Switch Instructions The instructions below discusses what to do if your printer is connected to a JetDirect print server. If after completing these steps and you still are having problems, contact the call center. How you should copy your data files:
Instruction Set 1 First, open My Computer and right click on the C: drive (maybe D: if you data there as well) and select Sharing. Select Shared As and Full Access, then select ok. A small hand will appear on the drive indicating that it is now shared with the network. Anyone on the network can open Network Neighborhood and see your computer and then open the contents of your hard drive at this point. Next, you will need to turn off the IP address in the old computer and change its name so that they can both be on the network at the same time. Work first on the old computer: Go to the Network Neighborhood icon on the Windows 95/98 desktop and click the right mouse button on it. Choose Properties by left-clicking. Go to the Identification Tab and write down the Computer Name and the Workgroup (usually the first name of the person who uses the computer and the county name, but if they are not entered correctly on the new computer, printers attached to the computer will not be seen by the computers in the office). Now add a 1 to the end of the computer name. Then select the Configuration tab and double click on the TCP/IP in the “Installed Components” box (not the dialup adapter version of TCP). From the first tab record the IP number and the Subnet Mask number. Now select on “Obtain an IP automatically”. Select the Gateway Tab and record the Default Gateway number, then select Ok, and Ok, and Restart when prompted. This will kill the old computer’s ability to see the internet and GroupWise, but you can then bring up the new computer and set it up. You should be done with the old computer at this point and may switch over to the new. Setup your new computer with the following instructions: Starting the new computer for the first time and entering the network settings: Once those steps are finished, you can create a shared folder on your desktop by right clicking on a blank spot and selecting New, Folder. Name it after yourself and right click on the folder, select Sharing and Security, and choose to Enable simple sharing without the wizard, choose to enable simple file-sharing again, and then checkmark both the “Share this folder with the network” and “allow others to make changes” boxes. Then select Ok. Next you can select on My Network Places, everything that is shared on the network should appear there or you may have to select Network Places from the list on the left side of the screen. This should include your other computer so you can open the other computer and Windows Explorer or My Computer and copy the files from one machine to another. Instruction Set 2 Recording the settings from your current computer: Please perform the following steps before setting up and turning on the new computer. Since you’re going to take your old machine off the network anyhow, just record your information by: Go to the Network Neighborhood icon on the Windows 95/98 desktop and click the right mouse button on it. Choose Properties by left-clicking. Go to the Identification Tab and write down the Computer Name and the Workgroup. (This is usually the first name of the person who uses the computer and the county name, but if they are not entered correctly on the new computer, printers attached to the computer will not be seen by the computers in the office.) Go back to the Configuration tab and locate TCP/IP in the installed components box. Double-click TCP/IP. From the first tab record the IP number and the Subnet Mask number. Next, select the Gateway Tab and record the Default Gateway number. Select OK to exit. Then follow the Starting the new computer for the first time and entering the network settings instructions. Once those steps are finished, you can create a shared folder on your desktop by right clicking on a blank spot and selecting New, Folder. Name it after yourself and right click on the folder, select Sharing and Security, and choose to Enable simple sharing without the wizard, choose to enable simple file-sharing again, and then checkmark both the “Share this folder with the network” and “allow others to make changes” boxes. Then choose Ok. Next you can select My Network Places, everything that is shared on the network should appear there or you may have to choose Network Places from the list on the left side of the screen. This should include the other computer where you copied your files so you can open the it to where you copied the files and then open Windows Explorer or My Computer and copy the files from one machine to another. Starting the new computer for the first time and entering the network settings: When the new computer is turned on the first time it will go through a brief setup. You will be asked to fill out your name and a company name. On the next screen you will be asked for a Computer name, fill this in with the Computer name from the old computer. Please leave the Password fields alone and just select next. The computer has been set up with an account called ‘county’. You will get a login screen with Administrator in the User ID field. Blank this out and type in the word county and choose OK. No password is necessary. Once Windows is loaded, select Start, Settings, and then Network Connections. You should see a Local Area Connection here, double-click it and you will get the Local Area Connection Status window. Go to the bottom left and select the Properties button which will open the Local Area Connection Properties Window. Find the box in the middle of this window which contains the network clients and protocols and highlight the Internet Protocol (TCP/IP). Now choose the Properties button just beneath this box. On the Internet Protocol Properties window on the General tab you will need to select the choice at the top that says ‘Use the following IP address’. This will give you access to enter the TCP/IP, Subnet Mask, and Default Gateway numbers you recorded from the old computer. Below these settings you will need to choose the ‘Use the following DNS server settings:’ Fill these in with the following numbers: Primary DNS server: 170.94.62.6 Alternate DNS server: 170.94.1.1 Choose OK on each open window to finalize the settings. To change the Workgroup/Computer name right-click the My Computer icon and choose the Computer Name tab. You will notice the field where you can change the computer description. The computer name and workgroup names are also listed here. To change them select the Change button. You can change the computer name in the top field if you didn’t change it when the computer was first turned on. In the ‘Member of’ box make sure that Workgroup is chosen and then you may change the workgroup name to the one from the old computer. Choose OK on both Windows, then you will be asked to restart the computer. Most likely folders that you should copy WordPerfect data files-C: MS Office data files-C:Documents Miscellaneous files-Any shared folders on the desktop Your bookmarks and favorite websites-C: My Mail-C:filesSoftware or C:Software Blue Ribbon-C:filesEnrollment Various FCS or Agri programs-Any folders named after a fcs or Ag program(ex. Irrig, Fair, CNM) Any saved projects from programs such as Print Shop or Card Maker or 100,000+ Cliparts in a box…. Printers using the JetDirect Some printers are on JetDirect print servers, little boxes that the printer plugs into. These must be reconfigured to work with XP. Until we get the time to reset the devices, you may plug the printers directly into the back of someone’s computer and share it through Windows. For the short-term, plug the printer into a nearby computer and set it back up with the Add a printer wizard in Start, Settings, Printers and Faxes. Then right click on the printer after setup and select Sharing, choose to Share Printer and select Ok. Now others can delete the previous printer driver under Start, Settings, Printers and then double click on the Network Neighborhood and your computer name and the printer icon and go through the wizard set it up again or it should be automatically available to other XP users. Note that the computer must be ON for the printer to PRINT. |
