July 28, 2008

1. Outstanding action items from last meeting.
  ACTION ITEM – Bruce H will send Nina a list of the names of his staff who may work past the 10 p.m. cutoff for network access; Mark Barnhard will manually exempt these accounts so they will not automatically be logged off the network. Done


ACTION ITEM – Nina will notify UAFS that they may now disconnect the server containing the 9i version of our standby database. Done

   
2. Projects
  a) Disaster Recovery – Our ACES standby database has been recreated on UAFS new Beta server (with Oracle 10gR2). Our Banner code tree has been recreated on that server as well, so that we can run jobs and scripts there if needed. TBD: I will need to FTP our /home/common directory to UAFS containing our local scripts and programs. We will also need to load the disaster recovery Windows server with 10gR2 Application Server and the Banner Forms and have it installed at UAFS.

i. Bernadette has asked we coordinate a payroll test run on the standby database.

ACTION ITEM - Financial services will look at their schedule to determine the best time for a payroll DR test. The test will take approximately eight hours to perform and to rebuild the standby afterward. No one can access Banner except the testers during the time of the payroll DR test.

  b) Accounts Receivable – This project will be put on the calendar as the next new project after the replacement for Sheryl Baker is hired.
  c) Argos – Bruce K created reports for Donna Rothberg, who is now using Argos.
  d) Banner budget process for departmental budget preparation – This will be investigated after A/R.
  e) Direct Deposit form in Self Service – Linda asked this be added to the list.
 
3. Lessons Learned from Year-end
  a) FS will put the clones on their year-end calendar.
  b) A process will be set up to have a daily briefing on status so that IT and FS are up-to-date and can plan time more efficiently.
  c) Bruce, Linda and Mark will look at mapping Banner data to the financial statements to reduce the time it takes to complete the reporting.
  d) FS will again give IT a list of individuals to manually opt out of the nightly disconnect from the network before backups.
  e) IT will continue work to cross-train on key functions like cloning.
  f) Bruce H will look into a monthly reconciliation of fixed assets instead of waiting until the end of the year.
  g) FS will test the year-end check stub total for next year.
 
4. Luminis Update
  The alpha test starts July 28.
 
5. Oracle 10G and Banner 8 upgrade
  Oracle 10G and Banner 8 upgrade: All databases on Edison have been upgraded to Oracle 10gR2 (10.2.0.3) and all of the Banner programs and Forms have been recompiled to work with 10gR2 databases. The upgrade of the Application Servers (Oracle web servers) has been rescheduled to after the Luminis go-live to provide a stable web environment for the Luminis development, configuration and testing. 10gR2 will need to be installed on our Windows servers, including Jerry, TheServer and CallServ. The databases on the Windows servers will need to be upgraded to 10gR2 (jerry_apps, theserver_apps, callsert_helpdesk). CEDAR is already 10gR2 (which Judi installed on the CEDAR2 server).
 
6. Status of New IBM
  Status of New IBM -- All Banner code trees (for production, test and Luminis) have been FTP'ed to the new IBM, as have all of the O/S utilities that we've installed (such as gzip). Still waiting to be installed are the C and COBOL compilers and the Oracle database software. After those are installed, we can move our ACES, NHRD, and LUMSPOT databases to the new IBM (the PREP, IPEDS, SPOT, and LUMTEST databases will stay on the old IBM, which we will keep for testing purposes).
 
7. Clean up of Folders on IBM
  Folders remain on the IBMs that belong to former employees [awagnon, dgrimmet, kscott, lbatts, smagloth].

ACTION ITEM – Bruce H will tell Nina when folders for former employees can be deleted from the IBMs.

 
8. Other Business
  Nina reported that the standards for the electronic signature act must be put in place by June 2009 [ http://www.dis.arkansas.gov/poli_stan_bestpract/pdf/DRAFT_Electronic Signatures Standard.pdf and http://www.dis.arkansas.gov/poli_stan_bestpract/pdf/Electronic%20Signature%20Policy%20Statement%202008.pdf

ACTION ITEM – Bruce K will research what it takes to change Jim Lipsey’s signature on purchase orders to Bruce H’s signature. Bruce H will let IT know when he wants the change to take effect.
